This Privacy Policy (“Policy”) explains how Accordhub collects, uses, stores, protects, and discloses personal information when users access or use the Accordhub website, booking platform, case tracking system, or related services (“Services”). This Policy forms an integral part of Accordhub’s Terms of Use.

Scope of this Policy

This Policy applies to all users of Accordhub, including individuals, law firms, arbitrators, mediators, parties to a dispute, representatives, and any person accessing the platform or premises. It also applies to users who participate in the optional case tracking system.

Information We Collect

Accordhub collects only the personal information necessary for booking, facility operations, and optional case tracking services.

We may collect:

  • Name, contact number, email address
  • Organization or firm name
  • Billing details and payment confirmations
  • Booking history and preferences
  • Identification details for security and access
  • Add-on usage information
  • Case-tracking inputs voluntarily submitted by users (see Section 4)

Information We Do Not Collect or Store by Default

Accordhub does not:

  • Access or retain hearing records unless explicitly provided by the user
  • Store dispute-related documents unless part of case-tracking inputs
  • Monitor, analyze, or store ADR proceedings
  • Retain any user-submitted material after add-on services unless part of the case tracker

Case Tracking System – Voluntary & Assisted Data Entry

Accordhub provides an optional case tracking feature to help stakeholders monitor limited case progress.

Users may choose either:

  • To manually enter case-related information themselves, or
  • To share information with the Accordhub legal operations team, who will enter it on their behalf exactly as provided.

Information may include:

  • Case reference number
  • Hearing numbers and dates
  • Summaries of hearing outcomes
  • Agenda for upcoming hearings
  • Online/hearing session details
  • Any other limited progress updates voluntarily submitted
4.1 Nature of Case-Tracking Data
  • Accordhub does not generate, analyze, interpret, or modify any case information.
  • All data displayed is exactly as submitted by users.
  • Accordhub does not verify accuracy of case inputs.
4.2 Use of Case-Tracking Data

Case-tracking information is used solely to:

  • Display hearing progress
  • Provide structured summaries for stakeholders
  • Enable tracking of upcoming hearing agendas
4.3 Deletion of Case-Tracking Data

Users may request deletion of any or all case-tracker data at any time. Accordhub will delete it within 7 days.

Handling of Case-Related Documents for Add-On Services

If a user submits any document for an add-on service (printing, transcription, recording):

  • Material is used only for fulfilling the service.
  • The final output (printout, recording, transcript) is immediately delivered to the user.
  • All copies are deleted immediately from Accordhub devices/systems.
  • No backup or secondary copy is retained.

How We Use Personal Information

Personal information is used for:

  • Processing bookings and payments
  • Managing split payments
  • Providing add-on services
  • Supporting users with case-tracking inputs
  • Ensuring facility access and safety
  • Sending confirmations and notifications
  • Improving user experience

Communications & Marketing Use of Personal Information

Accordhub may use personal information such as name, contact number, and email address to communicate with users regarding the Services.

Such communications may include:

  • Transactional and operational messages, including booking confirmations, payment updates, reminders, notifications, invoices, security alerts, and policy updates;

  • Customer support and service-related communications; and

  • Marketing, promotional, informational, and awareness communications relating to Accordhub’s services, offerings, updates, events, and related initiatives.

By registering on the Accordhub website, creating an account, logging in, making a booking, or otherwise using the Services, users expressly consent to receiving such communications through various channels, including but not limited to email, SMS, WhatsApp, phone calls, push notifications, and other electronic or digital modes.

Users may opt out of receiving marketing or promotional communications at any time by using the unsubscribe or opt-out mechanisms provided in such communications or by contacting support@accordhub.in.

Notwithstanding such opt-out, Accordhub may continue to send communications that are necessary for the performance of the Services, compliance with legal obligations, security purposes, or protection of legitimate business interests.

Legal Basis for Processing

Payment Processing and Financial Data

Accordhub does not store full payment card details. Payments occur through secure third‑party gateways.

  • Access logging for case tracker

Data Retention

We retain:

  • Booking/payment records for 5 years (legal compliance)
  • No add‑on service files after immediate deletion
  • Case‑tracking data only while the user opts to keep it
  • Security logs for up to 30 days

Sharing of Information

Information is shared only with:

  • Payment processors
  • Add‑on service partners (e.g., transcription service providers)
  • Accordhub legal operations staff assisting with case‑tracker input
  • Government authorities when legally required
  • Security/facility vendors

No information is sold or rented.
