Accordhub – Terms of Use

These Terms of Use (“Terms”) govern your access to and use of the Accordhub website, booking system, and related services (“Services”). By accessing or using Accordhub, you agree to be bound by these Terms.

If you do not agree to these Terms, please discontinue use immediately.

About Accordhub

Accordhub provides purpose-built hearing rooms for arbitration, mediation, conciliation, and other ADR-related meetings. Accordhub is not an arbitration institution and does not:
  • Appoint arbitrators
  • Administer or manage cases
  • Provide legal advice
  • Influence or participate in any proceedings
Accordhub’s role is limited to offering neutral, professionally equipped hearing rooms and optional on-site support services.

Eligibility

You represent and warrant that you are:
  • At least 18 years of age
  • Legally competent to enter binding contracts
  • Authorized to make bookings on behalf of yourself, your client, or your organization

Booking Terms

3.1 Room Booking
Rooms may be booked through the website by selecting an available time slot and choosing either full payment or split payment.
3.2 Split Payment – Confirmation Window
If you choose split payment:
  • The booking is provisionally reserved for 24 hours from the time the first party completes payment.
  • All remaining parties must complete their individual payments within these 24 hours.
  • If all parties pay within 24 hours: the booking becomes fully confirmed.
  • If one or more parties fail to pay within 24 hours:
  • The provisional booking is automatically cancelled
  • The slot is released back to public availability
  • Any amounts paid by any party will be refunded within 7 days
3.3 Final Confirmation
A booking is confirmed only when:
  • Full payment is made by one party, or
  • All parties complete their split-payment shares within the 24-hour window
Until confirmation, Accordhub does not guarantee the availability of any slot.

Pricing and Taxes

Room rates are displayed on the website and are subject to applicable GST and statutory levies.

Rescheduling

Rescheduling is subject to:
  • Availability of the requested time slot
  • Compliance with prevailing payment rules
Accordhub is not obligated to offer rescheduling if suitable slots are unavailable.

User Responsibilities

Users agree to:
  • Provide accurate and complete information
  • Maintain confidentiality of their account and login details
  • Use the premises strictly for lawful ADR-related purposes
  • Adhere to all Accordhub policies, including the Room Usage and Conduct Policy
  • Ensure that all accompanying persons comply with applicable rules
Users must not:
  • Conduct non-ADR events or gatherings
  • Damage equipment, furniture, or property
  • Engage in unlawful, unsafe, or disruptive behavior

Neutrality and Non-Interference

Accordhub maintains strict neutrality. Users agree not to:
  • Request advice or intervention in proceedings
  • Seek recommendations on arbitrators or legal professionals
  • Expect administrative or case-management involvement

Add-Ons (High-Level Rules Only)

Add-ons, such as printing, stationery, refreshments, and transcription, etc., are optional and separate from room charges. Add-ons may be pre-booked or ordered during a hearing and are subject to availability. Users must use all equipment responsibly. Detailed pricing, billing rules, payment timelines, and refund rules for add-ons are governed under the Payment Policy and do not form part of these Terms.

Intellectual Property

All website content, design, graphics, text, logos, and materials are the intellectual property of Accordhub. Users may not copy, reproduce, modify, or distribute any part without prior written consent.

Limitation of Liability

To the maximum extent permitted by law:
  • Accordhub is not responsible for the outcome of any dispute or proceeding conducted on its premises.
  • Accordhub is not liable for data loss, corruption, or leakage resulting from user actions or use of personal devices.
  • Accordhub is not liable for delays or disruptions arising from internet outages, power issues, equipment failure, or force majeure events.
Total liability shall be limited to the amount paid for the specific booking in question.

Indemnity

Users agree to indemnify and hold harmless Accordhub, its employees, and affiliates from claims arising out of:
  • Misuse of the premises
  • Violation of these Terms
  • Negligent, unlawful, or unauthorized actions by the user or their guests

Cancellation and Refunds

Cancellations and refunds are governed by the Cancellation and Refund Policy, which forms an integral part of these Terms.

Privacy

Data collection, storage, and use are governed by the Privacy Policy.

Modifications

Accordhub may revise these Terms at any time. Updated Terms will be posted with a revised “Last Updated” date.

Governing Law

These Terms are governed by the laws of India. Courts at Jaipur, Rajasthan shall have exclusive jurisdiction.
